Principle
After the submission of the application form, the ISAN system performs a duplicate check to assess if an ISAN has already been allocated for the work. If a similar registration is found in the ISAN registry, then the ISAN application is paused. A manual deduplication review is required:
- If the ISAN is already allocated, then the existing ISAN is to be used.
- If none of the potential duplicate(s) corresponds to the submitted work, then a new ISAN is allocated.
Deduplication review
1. Open the deduplication screen
- From the list of pending applications for deduplication or
- From the Registration Timeline after the submission of the application
Click on Deduplicate to display the deduplication screen:
The left part of the screen displays your application, the right part displays the list of potential duplicates (one work in the above example)
2. Click on a potential duplicate (right side list)
This displays a side by side view of submitted data and the selected potential duplicate data
3. Compare the metadata
The colors highlight the similarities (green) and the differences (red)
4. Confirm or reject the potential duplicate(s)
You can take an individual decision for every potential duplicate with the left side menu Actions.
Is New ISAN |
None of the duplicate candidates correspond to the application. A new ISAN will be issued. |
Is New ISAN & Link Both ISAN (Operational in a future release) |
The potential duplicate is a different work that is linked to your application (e.g. two parts of the same sequel). Confirm your application as a New Work to issue a new ISAN + link this ISAN to the potential duplicate.

Is Duplicate |
One of the potential duplicates is the same work as your application that will be rejected.

Is Duplicate & Assign to me (Operational in a future release) |
The application is duplicate with an existing ISAN registered by someone else, but you are the producer of the work. This action is only available (active) if the ISAN has been pre-registered by a trusted third party, i.e. not a producer that needed the ISAN or a version of it before your application. If you are the producer of the work, you can reassign the ISAN in your catalogue. This operation will be invoiced as a registration.

Is Missed Duplicate |
You are sure that your application is a Duplicate, but you can’t find the duplicate ISAN in the list of duplicates (e.g. removed accidently from the list with the above r action). This will open a search window to find and select the duplicate ISAN.

You can edit your application and update the data.

5. Retrieve the ISAN
Once you have confirmed that your application is either a new work or a duplicate with an existing ISAN, you can retrieve the ISAN for your application in the list My ISAN (menu New ISAN / My ISAN)
- The column Application Result displays
- New ISAN if a new ISAN was issued
- Existing ISAN in case of duplicate, the existing ISAN is displayed in the list
- You can view or edit the data anytime from the Action menu at the right of the corresponding line. Note that for an Existing ISAN, View Application displays the data you have submitted. To display the ISAN data registered in the ISAN registry, you need to click on View Active ISAN in Registration Timeline at the bottom of your application form.
List of pending applications for deduplication
To display the list of all pending applications for duplicate review, click on the menu New ISAN / Deduplication

To open the deduplication screen, click first on the blue icon (+) on the line of interest and then on the link Go to deduplication
