Introduction
This article provides instructions to fill the ISAN bulk excel form (isan1.82) for bulk ISAN registrations.
This bulk excel form can also be used for matching catalogues with the ISAN Registry, in such event only the following fields are required (all other information is optional): Registrant Work ID, the Original Title, DURation, YoR or Y1P, and Director-1. Additional information (including alternate identifiers) is highly recommended for a proper identification of the work.
Note that this bulk excel form only applies to Series, Episodes and Single Works. A new form (isan3.0) that supports also Groups (e.g. Seasons) and Version records in line with the new ISAN system, is currently in preparation.

Start by obtaining the latest version of the bulk excel form at www.isan.org/resources/
Description of the tabs within the form
The form is made of several tabs, some are used to submit data, others are informative:
- SingleWorks: this tab is reserved for single works registration. Fill in all single works information here according to the instructions outlined in this article.
- Series (SerialHeaders): this tab is reserved for Serial Headers registration. Fill in all serial headers information here according to the instructions outlined in this article.
- SerialEpisodes: this tab is reserved for serial episodes registration. Fill in all serial episodes information here according to the instructions outlined in this article.
- Help - Data Fields: this tab provides guidance with a description of the data fields to fill.
- Help- List of supported codes: this tab provides an exhaustive list of all codes supported by the form. The user shall use the correct codes in the data field.

Registration of Series and Episodes
New series require a new Serial Header registration. These new Serial Headers are defined in the Series (SerialHeaders) tab. Every new Serial Header shall have a unique Registrant Serial ID that will be used to bind Episodes to their respective Serial Header.
Episode data is provided in the SerialEpisode tab. For each episode either a Registrant Serial ID (defined in the Serial Header tab) is required for new Series, or an ISAN Root is required for existing series. Without this information it is not possible to establish the link between Episodes and Serial Header.
Fill in the record details
Add a row for each submitted record on the spreadsheet tab, “Data”
- Each record must be in its own row.
- Processing will begin with the first data row and will continue until the first empty row.
- Required fields (columns) have a Dark Blue "Required" header (e.g.
). These fields must be populated with valid entries for each data row.
- Optional fields have a Light Blue “Optional” header (e.g.
). These fields may be left empty. If they are filled in, then they must be populated with valid entries.
- Some data points can occur more than once per record (e.g., Titles) while others can occur only once (e.g., Work Type). Repeating fields have a number in their name (e.g., “Title-1”).
- When providing values in a repeating column, begin filling in from the left (lowest column number first) so that any blank cells are to the right.
- Each data point must be in a separate field. For example, if there is more than one Director, each must be entered in a separate column. They cannot both be entered in the same cell.
- Do not change the column order or add extra columns in the form.
- Do not repeat a particular value more than once per record (e.g., do not list the same Title more than once; you can have two Directors, so long as they have different names; etc.).
- Do not include formulas or cells with special formatting. All entries must be plain Text.
- Make sure that the data you provide comply with the ISAN Registration best practices.
- The assigned ISAN or V-ISAN will be returned in the "ISAN" column and any error messages or notes at the right edge of the spreadsheet (purple header will be added for this purpose).

Registrant
Description: The client identifier (prefix) provided by the ISAN Registration Agency (See How to create an account with an ISAN registration agency?).
Required: Yes.
Possible values: the client identifier (prefix) provided by the ISAN registration agency (e.g., xxxx.update).
Registrant Work ID
Description: User's private identifier (or token) for the work, not applicable for Serial Headers (see Registrant Serial ID).
Required: Yes (except for Serial Headers / Series records).
Possible values: Free text. A unique value within the work catalogue of the user.
Registrant Serial ID
Description: User's private identifier (or token) for the Serial Header (series), not applicable for Single Works (see Registrant Work ID).
Required: Required for Serial Headers. The Registrant Serial ID (alternatively the ISAN Root) is required for Serial Episodes in order to link Episodes to their Serial Header.
Possible values: Free text. A unique value within the work catalogue of the user.
ISAN Root
Description: The root ISAN is the Serial Header identifier. The root ISAN represents the 12 first digits shared by all ISAN of the episodes of the serial. Not applicable for Single Works.
Required: Required for Serial Episodes to link the episodes to the Serial Header, unless a Registrant Serial ID is provided.
Possible values: a valid ISAN root made of 12 hexadecimal digits, prefixed or not with "ISAN" string.
Season #
Description: The season number of the Episode or the number of Seasons for a Serie (Serial Header).
Required: No.
Possible values: free text.
Episode#
Description: The episode number for the Episode to register or search. The total number of epsiodes for the serie (Serial Header).
Required: No.
Possible values: free text.
Title-1 (TTL1) ... to TTL4
Description: The name by which the work was (or will be) first known in its original release in its home territory, presented in mixed case without trailing articles.
Required: One original title is Required.
Possible values: free text. Refer to ISAN Registration best practices for a proper formatting of titles. Note that ISAN Registration best practices provides also guidance for Episodes that do not have a distinct title.
K-TTL1... to K-TTL4
Description: The kind of title, wether Original (title) or Alternate (title).
Required: Yes (whenever a title is provided).
Possible values: use one of these two codes: ORIGINAL or ALTERNATE.
L-TTL1... to L-TTL4
Description: The language in which the title is written.
Required: Yes (whenever a title is provided).
Possible values: an ISO 639-2 language code.
Work Type
Description: Classification of the audiovisual work in categories from a closed list values such as Feature Film (FF), Documentary (DO), ...
Required: Yes.
Possible values: One code from the Work Type code list.
Work Kind
Description: Outlines whether the work is animated, live action or a combination of both.
Required: Yes.
Possible values: Use “L” (for Live Action), “A” (for Animated), or “LA” (for a mix of Live Action and Animation). Refer to the Work Kind code list.
DURation
Description: The approximate running time of the work in minutes or seconds.
Required: Yes.
Possible values: Positive integer number, rounding up if necessary.
- Zero (“0”) is not allowed.
- For works produced for television broadcast, you may use the scheduled time slot duration if the actual running time is not known.
DUR_Unit
Description: The unit of measurement used when recording the Duration.
Required: Yes.
Possible values: Use “MIN” (for minutes) or “SEC” (for seconds).
YoR
Description: Year of Reference.
Required: Yes.
Possible values: The four-digit year (“yyyy”) of production or copyright as it appears in the credits of the work, from 1896 to current year +1.
Y1P
Description: Date of First Publication, the date (possibly the year, if the date is not known) when the work was first presented to the public.
Required: No.
Possible values: The full date (in the format “yyyy-mm-dd”) or four-digit year (if the full date is not known) of the work’s original release or first public presentation, either actual (in the past) or anticipated (up to 10 years in the future).
Notes: The date of first publication / broadcasting is required for episodes without titles (e.g. title formated as "series_title - season xx - episode xx"). Without this information it can become impossile in some situations to distinguish episodes from each other as sometimes episodes are renumbered when distributed in foreign countries.
Color Kind
Description: The color format of the moving images.
Required: Yes.
Possible values: use one code from the Color Kind code list.
CTY-1 ... to CTY-3
Description: The Country of Production i.e., where the main production company’s headquarters are located.
Required: No.
Possible values: one code from the List of ISO 3166 Country Codes.
LANG-1 ... to LANG-3
Description: Original Language, the language code for the most prominent language(s).
Required: One original language is required.
Possible values: one code from the List of ISO 639-2 Codes.
Company1 ... to Company3
Description: Production Company.
Required: No.
Possible values: free text.
Director-1
Description: The director of the work. Add additional director(s) if applicable in the list of participants.
Required: Yes.
Possible values: free text.
Participant-2 ... to Participant-10
Description: Full name of main participants to the work (director, scriptwriter, producer, cast,...). The rime of the participant is defined in the corresponding Role cell.
Required: No.
Possible values: free text (full name).
Role-1 ... to Role-10
Description: The role of a main participant to the work. Goes in pair with Participant.
Required: Yes, only if a Participant is defined.
Possible values: one role code of the participant role list.
Alt-ID1 ... to Alt-ID3
Description: An alternate identifier for the audiovisual work such as EIDR, IMDB, Amazon, Netflix, etc…
Required: No.
Possible values: free text.
Alt-ID1 Type ... to Alt-ID3 Type
Description: The Alternate identifier type.
Required: Yes, only if an Alt-ID is defined.
Possible values: one of the possible value from the Alt-ID Type List.
Alt-ID1 Domain ... to Alt-ID3 Domain
Description: The domain associated to the alternate ID.
Required: Yes, only if an Alt-ID is defined.
Possible values: free text. Consult first the Alt-ID Domains List for association with some Alt-ID Types.
ISAN
Description: The ISAN, after registration.
Required: No, the ISAN after registration will be added to this column.
